EASY CONFIGURATION WITH EnterpriseManager™
SmartDict™ is completely a user driven system. With EnterpriseManager™, your administrator can customize how the system works for individual authors, transcriptionists and editors. Different profiles may be defined for authors with different access rights. For example, you may want to give only listening rights to your junior authors, and assign rights for dictation only to senior authors. Job types may be set and attached to profiles, thus making profile and job type management a simple task. Likewise, transcriptionist and editor profiles can be made based on their access rights and job types. What's more is the COMPLETE FLEXIBILITY IN DEFINING YOUR WORK ROUTE. This is what makes the SmartDict™ suite absolutely a unique solution. You can define transcriptionist profiles in such a way that your senior transcriptionists may complete a job at their own level, whereas the work done by your junior transcriptionists is reviewed by editors. You may even define the number of revisions required. If you have a well-defined workflow route, SmartDict™ can certainly be configured accordingly. And that's a guarantee.

DICTATE ON PC USING PCDict™

PCDict™ turns your PC into a digital dictation station. Individual authors can record dictations using a microphone or any handheld recording device. Once a dictation is recorded, a job is created, which is eventually routed for transcription and review. Author profiles can be set up in a manner that your senior authors can determine the priority of a job created, such that jobs are assigned to transcriptionists in the order of the priorities set. PCDict™ allows authors to add demographic information such as Admission Number, Reference Number, Department Number, etc. Also, an author can retrieve the transcribed file corresponding to his dictation, when the transcription is complete.

DICTATE ON TELEPHONE USING TeleDict™

Authors can remotely dial into a computer running TeleDict™ through telephone, and record dictations. Dictations can be done using a hands-free speakerphone or a cordless handset, car phone or a cell phone or even a payphone overseas. TeleDict™ guides telephone callers through a user-friendly interactive voice response system, thereby providing ease of dictation. Recording, playing, rewinding, forwarding, saving or any other action is only a matter of pressing a digit on the telephone keypad. The author does his job of dictating, and the rest is taken care. Dictations are saved in the centralized database, and jobs are automatically created and routed to respective transcriptionists, and to reviewing editors from thereon.

TRANSFER DICTATIONS OVER INTERNET/WAN/VPN USING WebDict™

WebDict™ provides remote access to authors by an Internet-hosted model. Dictations can be uploaded and reviewed from anywhere in the world through an easy-to-use interface. A powerful search utility is available to help authors to search for specific dictations based on Job Number, Job Type, Date etc. WebDict™ integrates dictation capture with automatic job routing, whereby the remotely uploaded dictations are stored in the centralized database, and are automatically routed to the appropriate transcriptionists, according to job type and profile settings. When transcription is completed, the transcribed file can even be retrieved remotely. WebDict™ ensures that the details can be accessed by authorized users only and keeps your information completely safe and secure.

IMPORT/EXPORT DICTATION FILES USING MergeDict™

MergeDict™ facilitates import of dictation files that have been originally created outside the SmartDict™ environment. Files can be imported individually, as well as in bulk. A variety of audio formats like wav, mp3, mp2, snd, au, aif, aiff, aifc etc. are supported. Once the audio files are captured, the system routes the dictation into job pools to await transcription, or the supervisor can even manually assign the jobs. Further, after completion of transcription and reviewing, the transcribed files can be sent back to the agencies they were received from.

TRANSCRIBE/REVIEW ON PC USING PCScribe™

With PCScribe™, a transcriptionist can carry out transcription work on a PC loaded with any windows based word processor. During transcription various playback options, speed and volume adjustments and foot-pedal support are available. Besides, the transcriptionist can place multiple bookmarks in a dictation for easy reference, and can use queries to emphasize difficult sections. Jobs with queries are automatically routed to appropriate editors for solving transcriptionists' queries. Also, once the transcription work is completed, the job is routed to the editors for reviewing. You have the flexibility to have none or multiple revisions before completion of the job.

TRANSCRIBE ON TELEPHONE USING TeleScribe™

Transcriptionists can dial into a computer running TeleScribe™ , and can remotely transcribe a dictation.

TRANSCRIBE ON INTERNET/WAN/VPN USING WebScribe™

When a recorded dictation is ready to be retrieved, the voice file can be transferred securely to the transcriptionist’s machine through Internet/WAN/VPN using WebScribe™. Once the transcriptionist completes the job, the transcribed file can once again be transferred to the server. A search utility is available to search for specific jobs. If the job is required to go through revisions, the job is routed to the editors' pool. The transcriptionist also has provision to suspend the job and mark queries. Once a job is picked up by a remote transcriptionist, it is no longer available for the local transcriptionists.

ADVANCED WORK - FLOW MANAGEMENT WITH JobRouter™

Thanks to JobRouter™ - the powerful yet flexible workflow management component, jobs are automatically routed to transcriptionists, based on job type and profile setting. Its powerful messaging utility notifies a transcriptionist when a job is assigned; or a job is suspended for more than the stipulated time; or the completion time of the job is reached. Now you have an always-ready manager in the form of JobRouter™. And of course, your supervisor has the ultimate rights. Besides other things, the supervisor can monitor the status of jobs, re-prioritize jobs, re-assign jobs that have been suspended for too long, re-route jobs and send jobs for rework. Amazing, isn't it? JobRouter™ controls your entire workflow and yet you are in control.
